Terms & Conditions of Service
Arbutus Entertainment Promise
Arbutus Entertainment is a Christian-owned Media company with the heart of a servant. We were created with a love for people, music, and partying. A life mantra we live by is “Your love for people is your love for God gone public”. We will provide a fun-filled, entertaining and memorable service for your event. We strive to bring joy to people’s lives and events and will go out of our way to do so! We also act as pseudo-coordinators to ensure the night runs smoothly.

All songs will be the radio-edited versions therefore will not contain explicit lyrics or vulgar language. We do not play songs with explicit lyrics.

On the night of the event, we do accept and encourage song requests by your guests. Most requests will be fulfilled unless the requested song is on your do not play list or a clean version cannot be found.

Requirements
-Ceremony--One small table near an outlet

-Reception--10x10 area for setup at least and one 15amp wall outlet used only by Arbutus Entertainment

-Photobooth--10'x10' area for setup, one 6' table for photobooth props, and wall outlet for power

Please note: We bring our own white tablecloths for the provided 6ft tables for the reception. If you'd rather a different color, you will need to provide us with that.

Retainer

All booking dates for Arbutus Entertainment are made on a first-come-first-served basis. In order to reserve the date for your event, a retainer of $350 is required when this signed agreement is returned. You may pay more than the required retainer and that amount will be deducted from your overall balance.

The retainer is non-refundable and non-transferrable. Should your wedding get rescheduled, the deposit will be honored up to 24 months after the event date for the same type of event.

Cancellation

The client must give Arbutus Entertainment notice of cancellation 90 days (3 months) prior to event date via email. Failure to notify us via email before the 90 days prior will result in the entire balance being owed immediately to Arbutus Entertainment due to loss of opportunity to backfill your event date.

If cancellation of your event does occur and Arbutus Entertainment is notified via email 90 days before, all payments, less the non-refundable retainer, shall be returned. Allow 14 calendar days for returned payments from date notified.

Final Payment

Final payment must be made 60 calendar days prior to the date of your event. If the final payment has not been made 60 calendar days prior to event date, a late fee of $50 per day (up to 7 days) will be added to the final payment amount, not to exceed $350. If the payment has not been made on or before the 7th day, Arbutus Entertainment reserves the right to terminate this agreement. Arbutus Entertainment will not be held legally responsible for any services listed in this Agreement or the event itself due to failure of payment.

A payment arrangement can be made if the client is not able to make the final payment prior to 60 days of event. Arbutus Entertainment must be notified about the need for a payment arrangement at least 75 days before the event date.

If your event is booked inside of 45 days from the date of the event,

your full payment is due at the time of booking.

Travel fees

Mileage calculated by Google Maps and is assessed from zip code 76008. The first 60 miles is included in event price.

For travel of 61-100 miles, there is an additional $50 fee.

For travel of 101+ miles, there is an additional $1 fee per mile and hotel lodging is required.

Additional Time to Party

We understand that you may want more time to party and celebrate with your guests. If additional time is needed for an event, a rate of $75 per half hour will be assessed and will be due to Arbutus Entertainment within 24 hours from the end of the event and must be paid via credit card or PayPal. You may also pay in cash, check, or Venmo on the night of the event.

Additional Considerations

If the start time of your event is delayed because of circumstances beyond our control, such as hazardous weather, poor road conditions, mechanical problems, fire, flying monkeys or any other uncontrollable reasons, we will work with you to the best of our ability to fulfill this Service Agreement.

If the event is cancelled, due to such circumstances, 50% of the event cost, less the non-refundable retainer, shall be refunded. Arbutus Entertainment shall not be liable for any damage, loss or injury to any person or property (including you as the client) arising out of or resulting from any act of omission of Arbutus Entertainment personnel, except such as may result from Arbutus Entertainment’s personnel negligence or willful misconduct. Arbutus Entertainment shall not be liable for any amount that would exceed the amount of the event fee.

Arbutus Entertainment will not tolerate inappropriate behavior of attending guests. Any such behavior that might reasonably cause harm to the equipment and/or personnel of Arbutus Entertainment may warrant immediate termination of the event, with no refund of any fees by Arbutus Entertainment. The client hereby assumes all responsibility for any and all damages or loss to Arbutus Entertainment equipment and agrees to pay all costs of repairs if it is rendered out of service through accident, misuse or neglect by client, customer or guest/s.

THIS INCLUDES "MIC DROPS" Mic drops or anything of the like that cause damage to Arbutus Entertainment equipment will be the responsibilty of the client to replace. In such cases as those mentioned above, repairs are not a sufficient resolution as repairs still compromise the quality of the equipment. The cost of the damaged equipment must be provided no less than 7 calendar days from the event date via check or credit card.

Parking

Please provide parking for our vehicle while at your event. The parking space should be in close proximity to the venue and you shall provide any necessary parking permit or pass 7 days prior to the event date.
